Creating Invoices

How do I create my first invoice?

To create your first invoice:

  1. Fill in your business details (name, address, GSTIN if applicable)
  2. Add your customer's information
  3. Enter invoice number and date
  4. Add items/services with descriptions, quantities, and rates
  5. Set payment terms and method
  6. Preview and download/print your invoice
How do I add my business logo?

Click the "Upload Logo" button in the "Your Business" section. Supported formats are JPG, PNG, and SVG with a maximum size of 1MB. For best results, use an image with a transparent background that's at least 150px wide.

How do I add multiple items to an invoice?

After filling in the details for your first item (description, quantity, rate), click the "+" button to add it to your invoice. The item will appear in the table below, and you can then add another item. There's no limit to the number of items you can add.

How do taxes (GST) work in the invoice generator?

Our tool automatically calculates GST based on:

  • The GST rate you select for each item (0%, 5%, 12%, 18%, or 28%)
  • Whether the supply is within your state (CGST + SGST) or outside your state (IGST)

The tax amounts are automatically calculated and displayed in the invoice summary.

Saving & Printing

How do I save my invoice for later editing?

Click the "Save Invoice" button to store your invoice in your browser's local storage. You can then access it later by clicking "View Saved Invoices" from the same device and browser.

Note: Saved invoices are only available on the device where they were created.

How do I download a PDF of my invoice?

After creating your invoice, click the "Download PDF" button. The system will generate a professional PDF version of your invoice that you can save to your computer or send to your client.

How do I print my invoice?

You have two options:

  1. Click the "Print" button to print directly from your browser
  2. Download the PDF first, then print from your PDF viewer

For best results, we recommend printing in portrait orientation with margins set to "default" or "minimum".

Can I email invoices directly to clients?

While our tool doesn't have built-in email functionality, you can:

  • Download the PDF and attach it to an email
  • Use the "Print" option and select "Save as PDF" if available in your print dialog
  • Copy the invoice details to paste into an email (using the preview function)

Troubleshooting

My invoice isn't saving properly. What should I do?

If you're having trouble saving invoices:

  • Ensure you're using a modern browser (Chrome, Firefox, Edge, Safari)
  • Check that cookies and local storage are enabled in your browser settings
  • Try clearing your browser cache and then saving again
  • Make sure you're not in private/incognito mode

If the problem persists, download the invoice as a PDF for safekeeping.

The totals aren't calculating correctly. What's wrong?

If calculations seem incorrect:

  1. Check that all item quantities and rates are entered correctly
  2. Verify the GST rate selected for each item
  3. Ensure the "Place of Supply" is set correctly (within/outside state)
  4. Check that discount percentages are between 0-100

If issues continue, try refreshing the page or clearing the form and starting again.

My logo isn't appearing in the PDF. How can I fix this?

Logo display issues in PDFs can occur because:

  • The image file might be too large (keep under 1MB)
  • The image format might not be fully supported (try JPG or PNG)
  • There might be a security restriction (try a different browser)

As a workaround, you can manually add the logo after downloading the PDF using a PDF editor.

I'm getting an error message. What does it mean?

Common error messages and solutions:

Error Solution
"Invalid date" Enter the invoice date in MM/DD/YYYY format
"Please add at least one item" Add at least one item/service to your invoice
"File too large" Reduce your logo size to under 1MB
